At Fresh Fit Consulting, we are committed to providing excellent patient care and clear communication. Please review the following policies to ensure a smooth experience during your time with us.
Active Patient Status
To receive courtesy patient services such as medication refills, same-day sick visits, or appointment referrals, patients must maintain an active status by completing a scheduled appointment within the last six months.
Maintaining active patient status is essential for ensuring we provide the most accurate and informed medical advice. Without a recent, comprehensive evaluation, it becomes challenging to offer appropriate guidance and manage ongoing health concerns. Regular visits allow us to monitor changes in your health, adjust treatments as necessary, and ensure continuity of care.
Visit Types and Scope
To optimize your care experience, Fresh Fit Consulting asks that patients clearly specify the desired discipline of care before each appointment. Our practice specializes in internal medicine, sleep medicine, and restorative medicine, and each area of focus requires dedicated attention.
Internal Medicine: Diagnosis and treatment of general health concerns.
Sleep Medicine: Evaluation and treatment of sleep disorders, including insomnia, sleep apnea, and circadian rhythm disturbances.
Restorative Medicine: Focus on personalized wellness, hormonal balance, and preventative therapies to optimize health.
Patients with concerns spanning multiple disciplines will need to schedule separate appointments to ensure adequate time and attention to each issue. By limiting the scope of each visit, we can provide focused, thorough, and efficient care. This approach also reduces wait times and ensures that each patient receives the detailed care they deserve.
Review of Testing Results
All ordered patient test results will be reviewed in a face-to-face meeting with the ordering physician. This ensures that results are thoroughly explained, questions are answered, and appropriate next steps are discussed.
For normal results that do not require clinical follow-up, patients will be verbally notified. Patients who wish to further discuss their results are welcome to schedule a follow-up at their convenience.
Insurance and Financial Responsibility
Patients are responsible for understanding their insurance provider’s pre-authorization requirements and coverage policies before receiving services, including laboratory testing. Fresh Fit Consulting cannot guarantee pre-authorization approval or coverage for any services or tests rendered. Financial responsibility remains with the patient in cases of denied coverage.
We are not responsible for negotiating service fees with third-party providers. In the event of a coding error or illegible order, we will provide revised ICD codes directly to the patient or via fax to the requesting third party. For coverage details, patients should contact their insurance provider directly.

In addition to traditional Internal Medicine and Sleep Medicine services, Fresh Fit Consulting offers an expanded group of services that fall under the category of Restorative Medicine. These offerings go above and beyond those traditionally available to patients under insurance coverage. Among other use cases, Restorative Medicine services provide valuable insight into metabolic function, hormone management, and medication alternatives.
We ask all Fresh Fit Consulting patients, regardless of their participation in Restorative Medicine, to familiarize themselves with the following important information:
Voluntary Participation
Participation in Restorative Medicine services is completely voluntary. Patients may choose not to engage in these services and still receive care at Fresh Fit Consulting.Insurance Coverage and Fees
Payment is due at the time of service.
Fees for Restorative Medicine services are not eligible for courtesy claim submission.
Effectiveness and Treatment Strategy
Restorative Medicine treatments, while supported by clinical research, may extend beyond the standard recommendations set by the American Board of Internal Medicine.
Restorative treatments complement traditional medical care and do not replace standard medical treatments. They often serve as adjunct therapies.
Dietary Protocols and Supplements
We may recommend specific dietary protocols, nutritional, and herbal supplements to support metabolic and biochemical functions.
Although these products are designed for therapeutic purposes, their primary goal is to support overall health and metabolic function.
Potential interactions: Nutritional supplements can be safely used alongside pharmaceutical medications, but some interactions may occur. We cannot predict all risks, so it’s important for patients to inform all of their healthcare providers about any medications, supplements, or hormones they are taking.
Nutritional Supplements
Fresh Fit Consulting offers high-quality nutritional supplements in our office. We source these products from reputable manufacturers who conduct rigorous third-party testing.
Purchase is optional: Treatment is never dependent on purchasing supplements from our office.
We cannot guarantee the quality of products obtained outside our practice.

Fresh Fit Consulting prioritizes serving patients with scheduled appointments. While we strive to respond to all calls, text messages, and emails promptly, our primary focus remains on providing quality in-person care.
If we are unable to answer your call immediately, we encourage you to leave a detailed message, including your name, date of birth, reason for calling, and the best contact number. Messages are reviewed and returned based on clinical urgency. For faster communication, you may also use our email or text service for non-urgent inquiries.
For medical emergencies, patients should dial 911 or visit the nearest emergency room. Fresh Fit Consulting does not provide emergency medical services via phone, text, or email.
To ensure we provide effective care, please keep all communications clear and concise.

At Fresh Fit Consulting, we understand that unforeseen circumstances may arise. If you are unable to keep your scheduled appointment, we kindly ask that you notify our office at least 24 hours in advance. This allows us to offer the appointment time to another patient in need of care.
No-Show and Late Cancellation Fees
Failure to Cancel in Advance: Patients who do not provide at least 24 hours' notice of cancellation or rescheduling may be subject to a No-Show/Cancellation Fee of up to $75.00.
Missed Appointments: Patients who fail to attend their scheduled appointments without notifying the office will also incur the No-Show/Cancellation Fee.
Please note that these fees are not covered by insurance and will be the sole responsibility of the patient.
Exceptions
We understand that emergencies and unforeseen situations can happen. In such cases where advance notice could not be provided, exceptions may be made at the sole discretion of our medical team.

At Fresh Fit Consulting, we strive to provide exceptional service and products to our clients. We understand that sometimes situations arise where a refund may be necessary. Please review our refund policy below:
1. Physical Product Returns:
Physical products may be returned if they are in their original factory seal and remain unopened.
Products must have an expiration date of at least 90 days from the date of return.
Sealed products expiring in less that 90 days from the date of return are subject to a 25% restocking fee unless they were sold in the last 10 business days.
2. Service Refunds:
Completed services are non-refundable.
Incomplete programs may be eligible for a partial refund for any un-rendered services or consultations within the program. Partial refunds are not guaranteed and are considered on a case-by-case basis. Please reach out to discuss your specific situation.
3. Credit Card Transaction Fees:
Credit card transaction fees are non-refundable. These fees are retained by the payment processor and not returned to our business.
4. Refund Method:
Refunds for payments made via cash or check will be issued by check.
Please allow up to 7 business days for check processing.
